What to include on a photography invoice
- Session date, length and location.
- Number of edited images or the package name.
- Licensing: where the images can be used and for how long, especially for commercial clients.
- Deposit paid at booking, entered as Amount Paid.
- Extras such as prints, albums, rush delivery or travel.
Tips to get paid faster
- 1Take a booking deposit to hold the date and show it as Amount Paid on the final invoice.
- 2For events, invoice the balance before the event date, not after delivery.
- 3State licensing clearly: personal use, web, print or advertising, and for how long.
- 4Offer prints and albums as optional extras on a separate invoice after the gallery is delivered.
- 5Send the invoice together with the gallery link so the client pays while they are delighted.
Frequently asked questions
Should a photography invoice include usage rights?
For commercial work, yes. Say where the client may use the images (web, print, ads), for how long, and that the licence starts when the invoice is paid.
How do I invoice a wedding with a deposit?
List the full package, then enter the deposit under Amount Paid. The balance due is what the couple owes, usually payable before the wedding date.
Can I charge for travel?
Yes. Add a travel line with mileage × rate or a flat travel fee, as agreed in your booking.
