What to include on a graphic design invoice

  • What was delivered: number of concepts, final file formats and any sizes.
  • Revision rounds included in the price, and any extra rounds billed.
  • Usage rights or licence terms, and when they transfer.
  • Deposit already paid, entered as Amount Paid so the balance is correct.
  • Third-party costs such as fonts or stock images, on their own lines.

Tips to get paid faster

  1. 1Take a 30–50% deposit before starting and record it in Amount Paid on the final invoice.
  2. 2Release final, full-resolution files after payment.
  3. 3Put the number of included revisions in your quote, then bill extra rounds as separate lines.
  4. 4Name deliverables the way the client does (“Autumn campaign banners”), not by your internal job code.
  5. 5Add a short thank-you note: it is a small touch that clients remember.

Frequently asked questions

How do I show a deposit on a design invoice?

List the full project price as usual, then enter the deposit in “Amount Paid”. The balance due will show what is left to pay.

Should I include copyright or usage rights on the invoice?

It is good practice to state what rights the client receives and that they transfer on payment. Your contract should have the full terms.

How should I bill extra revisions?

Add them as a separate line, for example “Additional revision rounds × 2”, at the rate agreed in your quote.
